Procedures and checklists

Energos CMMS now includes a robust, fully-integrated Procedures module that elevates how your teams handle compliance, preventive maintenance, and operational protocols. Whether you're in energy, fleet, facilities, manufacturing, agriculture, or retail, our Procedures feature ensures no task is missed, no compliance is skipped, and every SOP is executed and tracked with accountability.

Feature Overview: What Sets Our Procedures Module Apart

Custom Form Builder with 12 Unique Field Types

Design and configure procedures using a flexible form builder having field types:

  1. Checkbox: A field featuring a single box with a label that users can check or uncheck to indicate a true/false or yes/no response, ideal for simple confirmations like agreeing to a condition or acknowledging a statement.

  2. Text Field: A versatile field for free-form text input, enabling users to enter short or long responses, like names, descriptions, or comments.

  3. Number Field: A field designed for numeric input only, ensuring users provide numerical data, such as quantities or measurements.

  4. Amount: A specialized field for entering monetary values, often including currency symbols and decimal precision, useful for financial forms like invoices or expense tracking.

  5. Checklist: A field presenting a list of items for users to check off, perfect for task lists or compliance checks, ensuring all required actions are acknowledged.

  6. Multiple Choice: A field offering a set of predefined options where users select one answer, ideal for surveys or forms requiring a single choice, like selecting a category.

  7. Inspection Check: A field tailored for pass/fail or compliance evaluations, allowing users to mark items as inspected, often used in quality control or safety audits.

  8. Yes, No, N/A: A field providing three response options—yes, no, or not applicable—for straightforward decision-based questions, commonly used in assessments or evaluations.

  9. Picture/File Field: A field enabling users to upload images or files, useful for attaching evidence, like photos of completed work or supporting documents, with file type and size restrictions.

  10. Signature Block: A field capturing digital signatures, allowing users to sign forms electronically, essential for agreements, approvals, or legal documents.

  11. Date & Time: A field for entering or selecting both a date and an optional time, typically with a calendar and clock picker, used for recording timestamps of activities like task completion or incident reporting, with the flexibility to omit the time when not needed

  12. Meter: A field for capturing reading of multiple values of a linked meter, supporting both continuous sensor readings (e.g., temperature, pressure) and discrete multiple-choice options, with no limit on the number of values; meters are added to procedures via this field, allowing users to record readings directly within a work order, which are then displayed in the Meter section for that meter once the work order is marked complete.

These fields can be added, removed, or reordered dynamically to suit each procedure's specific workflow—enabling powerful customization for various industries.

Template Library

  • Create Procedure Templates for recurring tasks (e.g., fire safety checklists, equipment calibration steps, site inspection forms).

  • Templates can be modified, and versioned, promoting standardization across teams and facilities.

  • Shared templates reduce admin time and enable rapid training and onboarding.

Mandatory Completion Before Work Order Closure

  • Built-in compliance enforcement: Work Orders can only be closed if all required fields in the linked procedures are completed. Non-required fields are optional and do not block closure.

  • Ensures field staff fully execute SOPs, reducing the risk of missed steps, regulatory non-compliance, or incomplete maintenance.

Real-Time Field Completion Tracking

  • Monitor in-progress procedures across teams and facilities.

  • Supervisors can verify input fields, view media uploads (like inspection photos), and track timestamps.

Exportable Data for Audits & Analytics

  • Procedure data is fully exportable to CSV and PDF for use in audits, safety reporting, and operational analysis.

  • Enables trend identification, performance benchmarking, and compliance scorecards.

Capabilities Built Around Procedures

The Procedures feature works seamlessly with the full stack of Energos CMMS tools:

  • Work Orders: Attach multiple procedures to work orders; track statuses in real-time.

  • Preventive Maintenance (PM): Automate recurring procedures tied to PM schedules.

  • Asset Management: Associate procedure templates with specific assets (e.g., generators, HVACs, vehicles).

  • Mobile Access: Field technicians complete procedures on the go via mobile-friendly UI, with photo capture and e-signature.

  • Calendar & Scheduling: Schedule procedures as part of larger maintenance or compliance calendars.

  • Activity Logs & Audit Trail: Complete tracking of who did what, when—ideal for internal QA or external audits.

Who Benefits:

  • Maintenance Managers: Ensure every critical procedure is followed and documented.

  • Compliance Officers: Gain proof of process for audits and reduce regulatory risk.

  • Operations Teams: Standardize work across geographies or teams.

  • QA/HSSE Leaders: Monitor compliance rates, safety metrics, and SOP adherence in real-time.

Sample Use Cases:

  • Daily equipment startup/shutdown checks

  • Safety and compliance inspections

  • Truck/trailer pre-trip checklists
